RBS moves from its in-house whistleblowing solution to IntegrityLog
About RBS
After years of relying on its in-house whistleblowing solution, Responsible Business Solutions (RBS), a Wolf Theiss subsidiary, decided to migrate to IntegrityLog.
The move was driven by the evolving whistleblowing requirements across EU member states following the implementation of the EU Whistleblowing Directive. As a result, providers are increasingly expected to deliver not only high-quality services, but also practical solutions that enable clients to meet their obligations consistently and reliably.
For RBS, this regulatory environment required a reassessment of how whistleblowing solutions could be delivered in a more scalable manner. The search for a new system was led by Helmut Waitzer, Chief Information Officer of Wolf Theiss Group and Managing Director of RBS.
Recognising the need for change
Before adopting IntegrityLog, RBS offered clients a whistleblowing solution developed in house. While the system served its purpose, it had reached a stage where further development was necessary. RBS, therefore, had to decide whether to continue investing in its own technology or work with a specialised external provider that matched its workflow.
As Helmut Waitzer explains:
“We had to make a conscious decision: either invest further in developing our own solution or work with a partner that already offered a mature and reliable platform.”
Through a professional relationship, Waitzer became aware of IntegrityLog’s advisor version. An initial review and product demonstration revealed strong similarities with the firm’s existing system, combined with a more modern interface and dedicated product focus.
“It was quite interesting to see that in the demo, IntegrityLog aligned very well with how we already worked. It was like an ‘extended, modern version’ of our existing platform.”
Client migration required only small changes
A key consideration for RBS was how smoothly existing clients could transition to a new platform. The migration process proved more straightforward than expected.
“We handled most of the setup on the clients’ behalf, which helped keep the process simple. The feedback from the clients is very positive because the process itself is almost exactly the same as we had in our solution.”
The configuration phase required some initial alignment with the company's existing processes. From the clients’ perspective, the process remained familiar. The updated look and feel of the platform was immediately noticeable, offering a cleaner and more intuitive case overview.
Better usability with minimal training required
Today, IntegrityLog supports RBS in managing whistleblowing cases across multiple clients in a centralised environment. The enhanced overview of cases and deadlines has proven particularly valuable when handling several clients in parallel.
“You see immediately that it’s a newer product. A fresh design. The overview is much better and it’s very intuitive.”
Because the core workflows mirror the firm’s established processes, onboarding requires limited effort.
“The platform is self-explanatory. That makes onboarding straightforward and reduces the need for extensive training.”
A collaborative partnership
Beyond the platform itself, RBS values the collaborative nature of the partnership. Ongoing communication and responsiveness play an important role in supporting day-to-day operations.
“When we need support, we receive it quickly. There is an open channel to share feedback and discuss improvements.”
The firm also sees potential for future developments, particularly in expanding whistleblowing tools into broader speak-up channels that allow individuals to raise concerns anonymously even when they fall outside formal whistleblowing definitions.
Conclusion
By becoming an IntegrityLog partner firm, RBS has preserved internal resources that would otherwise have been required to develop and maintain an in-house solution while keeping pace with compliance developments.
IntegrityLog provides a solid operational foundation, enabling RBS to focus on delivering comprehensive services and strengthening client relationships rather than maintaining proprietary technology. As a result, the firm has reinforced its whistleblowing service offering with a modern and intuitive platform.
With whistleblowing continuing to evolve across Europe, the partnership enables RBS to deliver structured, compliant and practical whistleblowing services with confidence.
